Privacy Policy

This Privacy Policy explains how Telos Note handles notes, recordings, transcripts, documents, AI features, subscriptions, analytics, and support contact.

Overview

Telos Note - AI Voice Notes is designed as a private, local-first notes app for iPhone, iPad, and Mac. You can capture voice notes, written notes, meetings, imported documents, PDFs, images, actions, and outputs without creating a Telos account.

Most app content is stored locally on your device. Some features, such as AI cleanup, Improve Note, summarisation, action extraction, Ask Note, Ask Library, and Meeting Notes, may send relevant note, transcript, document, or question text securely to our server-side services when you choose to use those features.

Information Stored on Your Device

Telos Note may store the following locally on your device:

• notes, titles, folders, tags, favourites, stars, and other library organisation data;
• audio recordings and generated transcripts;
• actions, reminders where available, and output history;
• imported files, original documents, PDFs, images, OCR or extracted text, and attachments;
• export settings and local app preferences.

Deleting the app or local app data may delete local notes, recordings, transcripts, attachments, and settings unless they have been exported or otherwise backed up by you.

AI Features

When you choose an AI feature, Telos Note may send the relevant note, transcript, extracted text, document excerpt, question, or selected context to our server-side infrastructure for processing. We use trusted third-party AI providers to help generate the requested output.

AI features may include cleanup, Improve Note, summarisation, action extraction, Ask Note, Ask Library, Meeting Notes, and related note outputs. Ask Library may use relevant excerpts from your library to answer your question. Telos Note does not send note content to AI providers unless you choose an AI feature that requires processing.

AI outputs can be useful, but they may be incomplete, inaccurate, or unsuitable for your purpose. You are responsible for reviewing AI-generated content before using, exporting, or sharing it.

Apple Speech and Translation

Telos Note uses Apple speech recognition where available to transcribe recordings. Depending on your device, language, and Apple settings, speech recognition may use Apple services. Apple Translation features, where available, are provided by Apple and may require supported languages and system resources.

Speech recognition and translation permissions are controlled by your device settings.

Imports, Documents, and Exports

You can import audio, text, documents, PDFs, and images. Telos Note may retain the original file locally as an attachment, extract text, or run OCR where supported so the content can become an editable note and be used for search, AI actions, and exports.

You control exports and shares. Exported files may include notes, transcripts, audio, original attachments, or generated outputs depending on the export option you choose. Once you export or share content outside Telos Note, that content is handled by the destination app or service.

Subscriptions and Purchases

Telos Note Pro subscriptions and purchases are handled by Apple through StoreKit. We do not receive or store your full payment card details. We may receive purchase and entitlement information from Apple so the app and server can verify access to Pro features.

You can manage or cancel subscriptions through your Apple ID settings.

Reminders and Permissions

Where reminder features are available, Telos Note may request permission to schedule reminders or notifications for actions you create. Reminders language in Telos Note refers to supported local app reminder or notification behaviour and does not imply Mac Calendar or Reminders integration unless a specific feature says so.

The app may also request permissions for microphone access, speech recognition, file import/export, notifications, and other system features needed for the functions you choose to use.

Lightweight Analytics

Telos Note may use lightweight analytics to understand whether major app flows are working. Analytics are event-level and are not intended to include your note content.

We do not intentionally collect note bodies, note titles, transcripts, audio recordings, imported document text, OCR text, actions, reminders, questions, answers, translations, or advertising identifiers through analytics.

What We Share

We share data only as needed to operate the app and the features you request. This may include:

• Apple, for App Store purchases, StoreKit subscriptions, speech recognition, translation, and system services;
• Firebase and Google Cloud services, for app infrastructure, App Check, server-side functions, entitlement verification, and lightweight analytics;
• trusted third-party AI providers, for AI features you choose to run;
• support providers or email systems, when you contact us for help.

We may also disclose information if required by law or to protect the security and integrity of Telos Note and its services.

Security

We use reasonable technical measures to protect data in transit, including HTTPS for network requests. Server-side AI requests are protected by measures such as Firebase App Check and entitlement verification where applicable.

No system can be guaranteed completely secure. You should avoid storing or sharing information in Telos Note that you do not want processed by the features you choose to use.

Children

Telos Note is not directed to children under 13. If you believe a child has provided personal information to us, contact us so we can review and respond appropriately.

Your Choices

• You can choose not to use AI features that require server-side processing.
• You can manage microphone, speech recognition, notifications, and file permissions in system settings.
• You can export content from the app where export options are available.
• You can delete notes and local data within the app or by removing the app from your device.
• You can manage or cancel Pro subscriptions through Apple.

Changes to This Policy

We may update this Privacy Policy as Telos Note changes. If we make material changes, we will update this page and the effective date where appropriate.
